Graduation Checklist Spring 2015

Before the Day of Convocation – Advance Planning:
Step 1: before the March 19, 2015 name change deadline date, check your name as it appears in the University’s Repository of Student Information (ROSI). Select the Graduation tab on the SWS homepage and choose "view name on diploma." This is the name that will appear on your diploma. Please note that the deadline to request name changes/corrections (including the addition of accents) for the the Spring 2015 Convocation period is March 19, 2015.
Step 2: if you are attending your ceremony proceed to steps 3 and 4. If you are not attending your ceremony proceed to step 5.
Step 3: if you are attending your ceremony you will need to order academic regalia (gown & hood) online between (dates to be announced shortly). Please ensure that you take note of the gown rental ID (5 digit alphanumeric found in the email that you receive from the Gaspard LP -Regalia Order) as you will need it in order to RSVP and order guest tickets.
Step 4: if you are attending your ceremony you will need to RSVP and order tickets online. The online RSVP and Guest Ticket Request form will be available through the Student Web Service (ROSI) as of (date to be announced shortly). A gown rental ID (5 digit alphanumeric found in the email that you receive from the Gaspard LP -Regalia Order) is needed.
Step 5: if you are not attending your ceremony, please see getting my diploma for more information.
Step 6: if you are picking-up your tickets in advance of your ceremony, please note that only the graduand can collect tickets – please do not send family or friends on your behalf as tickets will not be released to them. Regrettably, we do not offer a mailing service.
Step 7: if you are a graduand requiring special services or accommodations (e.g. sign interpreter; wheelchair seating) please contact the Office of Convocation at convocation.office@utoronto.ca (please include your student number if emailing) or by telephone at (416) 978-3629 to make the necessary arrangements.
Step 8: if you have a guest(s) requiring special services or accommodations (e.g. sign interpreter; wheelchair seating), please indicate this on the online RSVP and Ticket form so that we may accommodate your guests.
On the Day of Your Convocation:
Step 1: please ensure that your guests have their tickets as lost tickets cannot be replaced. Please note that guests without tickets will not be admitted.
Step 2: for those who have not picked up their tickets in advance, tickets will be available for pick-up in the Office of Convocation in Simcoe Hall, Room 102. You will require a student card to pick-up your tickets. Please be advised that only the graduate can pick up his/her guest tickets. Please do not send an alternate.
Step 3: arrive at University College at least ninety minutes prior to the ceremony (please allow more time if you have not yet picked up your guest tickets) to pick up your gown and hood. It is recommended that you leave personal items (purses, coats, cameras) with your guests. There is no secure storage space in University College and all the items you bring must then be carried to Convocation Hall and you’ll need to hold onto these items throughout the proceedings.
Step 4: after regalia has been collected, be in the marshalling rooms in University College one hour and fifteen minutes before your ceremony to join the graduating student procession.
Step 5: please return your regalia following your convocation ceremony to avoid additional charges.

NOTE: To ensure your participation in the ceremony, please arrive by the times provided. Due to the complex arrangements involved in arranging a successful ceremony, if you arrive late there is no guarantee that you will be able to join the ceremony.
