Graduation Checklist Spring 2016

Before the Day of Convocation – Advance Planning: please note that you must have access to ACORN and UTmail.
Step 1: before the March 17, 2016 name change deadline date, check your name as it appears in ACORN. Select the Graduation tab on the SWS homepage and choose "view name on diploma." This is the name that will appear on your diploma. Please note that the deadline to request name changes/corrections (including the addition of accents) for the the Spring 2016 Convocation period is March 17, 2016.
Step 2: know your ceremony date and time; it is pre-assigned and cannot be changed. After determining your ceremony date and time and if you are attending your ceremony proceed to steps 3 and 4. If you are not attending your ceremony proceed to step 7.
Step 3: if you are attending your ceremony you will need to order academic regalia (gown & hood) online between May 2nd and May 17th. Please ensure that you take note of the gown rental ID (5 digit alphanumeric found in the email that you receive from the Gaspard LP -Regalia Order) as you will need it in order to RSVP and order guest tickets.

PLEASE NOTE: Victoria College students graduating on June 9, 2016 reserve gowns through Victoria College and NOT through the official supplier.

Step 4: if you are attending your ceremony you will need to RSVP and order tickets on ACORN. The online RSVP and Guest Ticket Request form will be available through ACORN between May 2nd and May 17th. A gown rental ID (5 digit alphanumeric found in the email that you receive from the Gaspard LP -Regalia Order) is needed.
Step 5: if you have a guest(s) requiring accessibility seating, please indicate this on the online RSVP and Ticket form so that we may accommodate your guests. For questions about accommodations for your guests please contact the Office of Convocation at (416) 978-5940 or via email at convocation.office@utoronto.ca (please use your UTmail address and include your student number in the email).
Step 6: if you are a graduand requiring an accommodation (e.g. sign interpreter; wheelchair seating) please contact the Office of Convocation at (416) 978-5940 or via email at convocation.office@utoronto.ca (please use your UTmail address and include your student number in the email).
Step 7: if you are not attending your ceremony, please RSVP "not attending" on ACORN between May 2nd and May 17th and follow the link to getting my diploma for more information.
On the Day of Your Convocation:
Step 1: please ensure that your guests have their tickets. Please note that guests without tickets will not be admitted.
Step 2: arrive at University College at least ninety minutes prior to the ceremony (please allow more time if you have not yet picked up your guest tickets) to pick up your gown and hood. It is recommended that you leave personal items (purses, coats, cameras) with your guests. There is no secure storage space in University College and all the items you bring must then be carried to Convocation Hall and you’ll need to hold onto these items throughout the proceedings.
Step 3: after regalia has been collected, be in the marshalling rooms in University College one hour and fifteen minutes before your ceremony to join the graduating student procession.

PLEASE NOTE: marshalling for the Victoria College convocation on June 9, 2016 will take place at Victoria College.
Step 4: please return your regalia following your convocation ceremony to avoid additional charges.

NOTE: To ensure your participation in the ceremony, please arrive by the times provided. Due to the complex arrangements involved in arranging a successful ceremony, if you arrive late there is no guarantee that you will be able to join the ceremony.
